Paste or speak your schedule
Dump in the tournament email, a schedule grid, or just talk it out — we'll turn it into games you can review and edit. Nothing is saved on our servers.
How the tournament planner works
- Step 1
Paste or speak the schedule
Drop in the tournament email or schedule grid — or just talk it out — and it becomes games you can review and edit. Manual entry works too.
- Step 2
Add where you're staying
Your home or hotel plus how early the coach wants you there. Venue addresses unlock traffic-aware drive-time estimates.
- Step 3
Get your weekend plan
Leave-by times for every game, real meal windows between them, a packing checklist — then share, print, or export to your calendar.
Why leave-by times, not just game times
A tournament schedule tells you when games start. It doesn't tell you when your family needs to walk out of the hotel. The planner works backward from every start time: game start, minus the check-in buffer your coach asks for, minus the actual drive from where you're staying — with traffic estimated for the time you'll really be on the road. That's the number a sports parent actually needs on a Saturday morning.
It also finds the free time you didn't know you had. Gaps between games are measured against the next arrive-by time — not the next start — so when the plan says you have a 2-hour meal window, you really do.
Tournament planner FAQ
What is the Tournament Weekend Planner?
It's a free tool from HuddleUp Sports that turns a messy youth sports tournament schedule into a family weekend plan: when to leave, where to be, and what free time you actually have between games — with calendar export, a printable itinerary, and a shareable link. No account or app required.
Is the tournament planner really free? Do I need an account?
Yes — completely free, no account, no sign-up, no credit card. Your plan is never stored on our servers: it lives in your browser and inside the share links you create.
How are leave-by times calculated?
Leave-by time = game start, minus your arrival buffer (default 45 minutes), minus the drive time from your home or hotel. Drive times use traffic-aware routing for the actual departure time when you enter addresses, or your own estimate when you don't.
How early should we arrive at a youth sports tournament?
Most tournaments ask teams to check in 30–60 minutes before the first game for rosters, warm-ups, and finding the right field. The planner defaults to a 45-minute arrival buffer, and you can set any buffer your coach asks for — it's built into every leave-by time and calendar alarm.
How do I share the plan with my family or the team group chat?
Two ways: copy a share link (the whole plan travels inside the link — nothing is stored on a server), or copy a ready-to-paste group-chat message with every game, leave-by time, and meal window spelled out.
Can I add the tournament schedule to my phone's calendar?
Yes. Export a .ics calendar file with one event per game — venue, notes, and a leave-by reminder alarm included — and open it in Apple Calendar, Google Calendar, or Outlook.
What should we pack for a tournament weekend?
The planner builds a packing checklist for your sport — gear like cleats, extra socks, both jerseys, and a backup stick or ball — plus the parent survival kit: water, snacks, sunscreen, folding chairs, chargers, first-aid basics, and cash for gate fees.
Which sports does it work for?
Any youth sport. Sport-specific packing lists are built in for soccer, baseball, softball, basketball, hockey, football, volleyball, lacrosse, wrestling, and swimming — and the schedule, leave-by, and sharing features work for every sport and multi-game weekend.
